Dental revenue operations / Clinics billing $1m+ a year

How Much Revenue Is Sitting Inside Your Dental Database?

Alpine Marketing works with dental clinics already billing more than $1 million a year. Most of them buy new patients before they have finished serving the ones they already have. We reactivate inactive records, run the follow up, and report on what actually reached the schedule.

Under 6 months Active
6 to 12 months Recall due
12 to 24 months Lapsing
24+ months Dormant

Every campaign starts here. Patients are messaged by how long they have been away, each segment with its own reason to come back.

What we actually did

The database was segmented by recency before a single message went out: under 6 months, 6 to 12 months, 12 to 24 months, and 24+ months. Each segment received its own reason to come back, because a patient who is three weeks overdue and a patient who has been away for two years need very different conversations.

  1. Personalized SMS and email

Sequences built and sent through GoHighLevel, written per segment and merged with the patient record.

  2. AI reply classification

Every inbound reply sorted into positive, negative or neutral so nothing sat unread in a shared inbox.

  3. Staff notification

The team was notified the moment a patient needed a human, with the full thread attached.

Getting The Lead Is Only Half The System.

A dental clinic in Zürich ran Meta campaigns over three months. The spend produced enquiries. What decided the outcome was everything that happened after the form was filled in: who replied, how fast, and whether the conversation ended on the schedule.

Case study 03 / Database reactivation

$47,000 In Four Weeks, On Zero Ad Spend.

The Zürich clinic was already running paid campaigns that performed. We left those running and worked the leads sitting unused in their CRM through a sequence of voice notes, SMS and email. Four weeks later that sequence had returned more than the advertising beside it, on a budget of $170.

1,000

$47,000

Revenue produced, with $0 spent on ads

The sequence, over four weeks

  1. One voice note

The opening touch, recorded in the clinic's own voice so the first thing the lead heard sounded like the practice they had already spoken to.

  2. Five SMS

Spaced across the four weeks and merged with the lead record. Text open rates run at 90 to 95 percent, the highest engagement available anywhere in the stack.

  3. Five emails

Timed around the messages so each channel carried its own reason to come back, with replies routed to the team the moment a person was needed.

What it cost to run

4 weeks
  • Ad spend$0
  • CRM, messaging and phone setup$170
  • Leads contacted1,000
  • Revenue booked$47K+

The clinic already owned every contact on that list. Reaching them again was a sequencing job, and the history in each record made the message specific.

Paid acquisition

Meta and Google campaigns built for a treatment enquiry, with spend judged on booked appointments.

Follow up and CRM automation

You work directly with Roman Siladii

Alpine Marketing is deliberately small. Roman reads your database export, writes the segments and builds the follow up. He is the same person you meet on the review call, and the same person you message when something needs changing.

Most clinics at this size already have the patients. What they need is a records system, a follow up system and honest reporting, and all three can be built from what is already in the building.

Before you ask

Frequently asked questions

What happens to our patient data?

Patient records stay inside your practice management system. Campaign sending and reply handling run in GoHighLevel under your clinic account, and access is limited to the people you approve.

Do we need to change our practice management software?

No. We work with the export from your existing system, including Dentrix, Open Dental, Eaglesoft, Curve Dental and Denticon.

How much front desk time does this take?

Sequences run automatically. Staff are notified only when a patient reply needs a human, so the team spends its time on conversations while the system builds the lists.

Who is the Dental Recovery Scan for?

Owner led dental clinics already billing more than $1 million a year. At that size there is enough patient history and enough monthly enquiry volume for reactivation and attribution to move real numbers. Below that, the usual constraint is new patient volume, and that is a different piece of work.

How long does the Dental Recovery Scan take?

About two minutes. Three short steps covering your active and inactive patient counts, follow up process, acquisition channels and reporting setup.

Start with what is already in your database

Three short steps covering your patient counts, follow up process and reporting. At the end you get a read on where your reactivation and attribution gaps are. For clinics billing $1m or more a year.
